Upgrading and adding seats

How to move from the free tier to a paid subscription, add or remove clinician seats as your team changes, and how billing responds when the seat count changes.

Upgrading from free

The clinic owner upgrades from Settings, then Billing. Choose monthly or annual billing and continue to the secure checkout page. Applicable sales tax is added there, and the subscription starts as soon as checkout completes. Billing actions are owner-only, so a clinician or admin who wants to upgrade should ask the owner.

Upgrading lifts the free-tier caps right away and turns on Capture, IsoForge, and custom branding for the whole clinic.

Adding seats

A seat is a clinician on your team. You add one by inviting a member from Settings, then Team. When they accept, your subscription quantity goes up by one and the additional-seat rate applies, prorated for the rest of the current period.

The first seat is billed at the base rate and every seat after it at the additional-seat rate. On monthly billing that is $20 for the first seat and $10 for each one after. Annual billing is $204 and $102 respectively, a 15 percent saving.

Removing seats

Removing a member from Settings, then Team lowers your seat count and your bill from the next cycle. When a clinician is removed, their patients are reassigned to the clinic owner so no records are stranded. If the owner is the one leaving, transfer ownership first. The platform will not let the last owner leave without naming a successor.

Switching between monthly and annual

You can move from monthly to annual, or back, at any time from the billing portal. Annual billing saves 15 percent across every seat. The change takes effect according to the terms shown in the portal when you switch.

Who can do what

Only the owner can start, change, or cancel a subscription and adjust seat billing. Admins and clinicians can work with patients and sessions but not billing. To cancel, see canceling or pausing a subscription.
